New Life Agency is an insurance agency that specializes in the needs of all involved with surrogate births and egg donation, namely the donors, surrogates, and ultimately the families themselves.
New Life Agency wanted to streamline their paper-based, multi-location administration, most importantly the intended thousand-plus parent application forms they received per month, which had to be filled in and signed on-site, checked by the agent and faxed to the corporate headquarters, clearly an inefficient and accident-prone operation. There was also much administration work that could be sped up using web applications. They approached Koves to create a system that used online technology to digitize and speed up the process securely.

The Challenges
Security was always going to be a prime concern here as personal data would be sent to and from applicants and staff members. It was important that all data could be accessed online by staff and that queries and responses could be dealt with confidentially and swiftly.

The Solution
Koves created a web-based interface that served applicants and staff members, each with their own start page and secure account-formation and login procedures. All applications could be digitally signed and sent to the processing center in an instant, removing the cumbersome faxing and re-faxing of before. Also, there was no need to manually check applications as the system automatically checked for unanswered questions or responses in the wrong format. With everything held in a single secure database, accessing details both for internal administration and for quickly answering customer queries was made infinitely simpler.

The Results
The new system dramatically cut the processing time required for each job, and thanks to the automatic checking and validation, queries and rejections were all but eliminated. It must also be mentioned that reducing the amount of paperwork has made the company a whole lot greener.
